We are committed to transparency and the security of your data. Here’s how we handle the information required for the bots to function.

What We Collect

• Email address — used to log in, verify your account, and contact you about your account.
• Date of birth — collected at registration solely to confirm you are 18 or older (age gate).
• Discord user IDs — when you talk to a bot on Discord, the bot stores your Discord user ID and display name alongside the messages so it can keep conversation context per user.
• Conversation history — messages exchanged with your bots (Discord User ID, Channel ID, and message text), retained until you delete them.
• Managed API usage logs — if you use an UnrealHQ Managed API token, we log per-request token counts and model names to meter daily limits and prepaid credits.

API Keys

UnrealHQ is a BYOA (Bring Your Own API) platform. Your API key — from any of the 17+ supported providers (including OpenAI, Anthropic, OpenRouter, ElectronHub, and the UnrealHQ Managed API) or a custom endpoint — is required for the bot to generate AI responses on your behalf. We store your key securely in our database. It is only ever used to authenticate your requests with your chosen provider. We will never share, expose, or use your API key for any other purpose.

Note that requests made with an API key are transmitted to that key's provider under the key owner's account, and may be visible in that provider's own logs or dashboards subject to the provider's privacy policy. Transmitted content includes the full generated prompt (character material and platform prompting). Requests made with UnrealHQ Managed API keys are routed through UnrealHQ's own infrastructure.

Conversation History

To provide a persistent memory, we store the content of your conversations with the bots. This data includes your Discord User ID, the Channel ID, and the text of the messages. In a server channel a bot has been invited to, this includes messages from everyone in that channel, not only people who addressed the bot, because a character has to follow the whole scene to take part in it. This information is stored solely for the purpose of providing conversational context to the AI. It is never shared with third parties, never sold, and never used to train or fine-tune AI models.

If you are on Discord and do not want a bot to remember you, run /forgetme with any UnrealHQ bot: every UnrealHQ bot deletes its stored messages from you, and replies to you, everywhere, right away. You do not need an account. A message to the admin (below) works too. Server administrators can also clear a bot's memory of a whole channel with /strike.

Retention

Account data is kept for as long as your account exists. Conversation history is retained until you delete it (per conversation in Unforgettable, or all at once by deleting your account). Managed API usage logs are kept for metering and billing purposes while the associated token exists. When you delete your account, all of the above is permanently removed.

Your Control: Export and Delete

You have full control over your data. Using Unforgettable, you can view, edit, and permanently delete your conversation history on a per-conversation basis at any time. Deleting a conversation removes it from our database entirely. You can also export your conversation history in JSON or JSONL format.

From the Control Room Account settings you can Export My Data (a JSON file with your account data, characters, conversations, personas, and settings) or Permanently Delete My Account, which removes all of your data immediately.
